• Name (all stages)
You enter the name for each stage. It should explain the purpose of the stage, but keep it short and simple!
• Closing date (all stages if Phased, Gather if Parallel)
In a Phased challenge, you can set a date for each stage to close automatically. This is best for sequential challenges, with clearly defined gated stages and a specific timeline.
• Idea form (Gather, Develop)
Select the idea form(s) to capture the idea content (Gather) or build on an idea (Develop). To make sure you pick the most relevant form, you have the option to preview each form before you create your Challenge. Idea forms cannot be edited in the Challenge Builder.
• Email confirmation (Gather, Develop)
You can turn on the confirmation email which is sent when the new idea is created. In your personalised message, you can thank the idea creator for the contribution and explain the next steps.
• Idea visibility (all stages)
You may want different audiences to see the ideas at different stages of a Challenge. For each stage you can indicate whether ideas can be seen by everyone, or only allow idea creators and team members to view their own ideas.
Please note System Admins and Challenge Managers can always see all ideas regardless of this setting.
• Marking ideas as updated (Develop)
During the Develop stage, the idea creator or idea teams are expected to build on their initial idea by answering additional questions. This is a collaborative and iterative process. Once all edits have been and it is ready to be evaluated, the idea creator or team lead can imply confirm submission to notify the Challenge Manager.
An idea can be marked as updated by idea creators and team leads only, either from the idea or edit idea pages.
Please note that if this option is activated, an idea can only be progressed after the idea is marked as updated.
• Message to idea creators (Develop)
When an idea reaches a Develop stage and there are additional forms to be completed, the idea teams is assigned a task to update their ideas. You can customise the message idea teams receive when this task is generated. This is an opportunity to explain what is expected at this stage and why updating the idea is important.
• Message to evaluators (Evaluate)
When an idea reaches an Evaluate stage, a new task is assigned to Evaluators. You can customise the message that Evaluators receive when this task is generated. This is an opportunity to explain what is expected at this stage, why they are relevant for this challenge/category and why evaluating an idea is important.
- Duration (Evaluate, Develop)
You can set a deadline to the evaluate or develop ideas. By setting a duration evaluators and idea creators and teams know the deadline to complete their tasks as the generated task will include a due date. Evaluators and idea creators and teams will be reminded of overdue tasks in the task section of their Daily Summary and their Task page in the application.
- Ability to add new ideas (Develop)
In a Develop stage, you can allow users to add new ideas to the challenge. This is particularly useful if the volume or quality of ideas collected during the Gather stage is insufficient, and you want to receive an additional batch of ideas.
